Collaboration & Sharing Workflows

Design a 20x10 Public View Summary Block vs Named Workbook Invitations

Structure top-left KPI summary blocks for anonymous 20-row by 10-column public view pages, cross-foot totals against detail rows, and separate public links from named role invitations.

Keep executive KPIs inside the initial 20x10 public window and separate sharing modes

Before sharing a cloud workbook in Arte Sheets, separate two distinct owner actions: named invitations (viewer, suggester, or contributor roles for signed-in teammates, with live cursors, cell comments, @mentions, and suggestions) versus an owner-only anonymous public view link. Anonymous public view renders a read-only paginated 20-row by 10-column window (A1:J20 on page 1) without charts, cell comments, revision history, or AI tools.

If you place a regional revenue summary in column M (column 13) or row 26, external readers opening page 1 of a public view link will not see it without paging! Anchor your executive KPI block inside A1:E8, cross-foot the regional subtotals (North 14,500 + South 11,200 + West 18,300 = 44,000) against raw order lines, and check row/column bounds (max_row <= 20 and max_col <= 10) before enabling public access.

Sharing ChannelWho Can Trigger & AccessWhat Appears in Workbook
Named Invitation (share_workbook)Owner invites specific email (viewer / suggester / contributor); creates in-app invite (emailSent = false)Full collaborative sheet, comments, @mentions, suggestions, charts
Public View Link (manage_public_link)Explicit owner-only toggle (Pro required for mutations); separate from named invitesAnonymous read-only 20x10 paginated cells; no comments, charts, history, or AI
ChatGPT Connector 0.1.0 (In review)Not publicly published yet; uses scoped OAuth (Profile -> Connected apps) on cloud workbooksChecks get_public_link / share_workbook only when owner explicitly requests

Cross-Footed Regional KPI Summary Formula

Aggregate each region cleanly with SUMIF inside the top-left summary block and reconcile the summary total against raw detail rows so hidden or truncated rows never go unnoticed.

=LET(sum_kpi, SUM(E2:E4), sum_raw, SUM(B2:B6), IF(ABS(sum_kpi - sum_raw) > 0.001, "Reconciliation Mismatch", sum_kpi))

First-Page 20x10 Public Viewport Readiness Gate Formula

Verify both reconciliation equality and first-page viewport coordinates (bottom-right summary row G2 <= 20 and column G3 <= 10). Test changing G2 to 24 (pushing the summary block below row 20) or altering an unmapped region label in A6 to "Central": the gate immediately flags "Paginated Overflow (>20x10)" or "Reconciliation Mismatch" before you share.

=LET(sum_kpi, SUM(E2:E4), sum_raw, SUM(B2:B6), end_r, G2, end_c, G3, IF(ABS(sum_kpi - sum_raw) > 0.001, "Reconciliation Mismatch", IF(OR(end_r > 20, end_c > 10), "Paginated Overflow (>20x10)", "Ready for Page-1 Public View")))
