Prepare a Trial Balance from journal entries (SUMIFS + balance check)

Aggregate general-ledger Debit and Credit lines by account with SUMIFS and verify double-entry balance to the cent.

Roll up journal lines by account and verify Debits = Credits

In double-entry bookkeeping, every journal entry posts equal Debits and Credits across two or more accounts. Rolling raw journal lines up to a Trial Balance uses SUMIFS(DebitCol, AcctCol, AccountName) and SUMIFS(CreditCol, AcctCol, AccountName).

For this two-decimal example, rounding the difference suppresses small floating-point discrepancies. This is a tolerance check, not exact decimal arithmetic.

Account (A)Debit (B)Credit (C)Debit minus credit movement
Cash50000+5,000
Revenue05000-5,000 (Credit normal)
Rent12000+1,200
Cash01200-1,200 (Ending Cash = 3,800)

Account ending balance and ledger balance-gate formulas

Asset and Expense accounts carry a Debit normal balance (SUMIFS Debits - SUMIFS Credits), while Revenue, Liability, and Equity accounts carry a Credit normal balance.

=SUMIFS(B2:B5, A2:A5, "Cash") - SUMIFS(C2:C5, A2:A5, "Cash")

Two-decimal trial balance check

Returns Balanced when the rounded total difference is zero.

=IF(ROUND(SUM(B2:B5) - SUM(C2:C5), 2) = 0, "Balanced", "Out by " & ROUND(SUM(B2:B5) - SUM(C2:C5), 2))

Inputs and interpretation

Amounts must be numeric, in one currency and precision policy. The example has zero opening balances; real ending balances require openings and the complete ledger. Equal totals do not detect omitted or misclassified entries, or errors that offset. Aggregate balance also does not prove each journal balances. Rounding can hide sub-cent differences; use the precision appropriate to your records.
