Dynamic Line Chart Ignore Empty Future Months: NA() Formula vs. Zero-Cliff Drop
Stop YTD actuals line charts from plunging vertically to 0 in unrecorded future months by returning NA() instead of "" or 0—while using COUNT(B2:B7) to aggregate completed months cleanly!
Why =IF(B2="", "", ...) STILL plots as zero on a line chart—and why NA() stops the line cleanly!
Every FP&A analyst has hit the dreaded "YTD line-chart cliff": your 12-month revenue chart compares Budget (Jan–Dec) against Actuals (populated through April, blank for May–Dec). If your chart-prep formula writes =IF(ISBLANK(B6), "", SUM($B$2:B6)), spreadsheet line charts treat the formula text string "" as numeric 0—causing your cumulative YTD revenue line to nose-dive straight to $0 in May!
Replacing "" with NA()—writing =IF(OR(ISBLANK(B6), LEN(TRIM(B6 & "")) = 0), NA(), B6)—returns the #N/A marker, which line and scatter charts omit from point rendering instead of plotting at zero! Meanwhile, for summary KPI cards at the top of your dashboard, always compute YTD Totals and Completed-Month Run Rates directly from the raw numeric input column B2:B7 (or guard helper averages against #N/A) so downstream totals never inherit #N/A!
| Unrecorded Future Month Return Value in Chart Helper Column | Line Chart Visual Behavior | Downstream SUM / AVERAGE Impact |
|---|---|---|
| Formula Empty String "" or Numeric 0 | Plunges vertically to 0 ("Zero Cliff"!) | 0 dilutes AVERAGE; "" ignored by SUM |
| =NA() (#N/A Marker) | Stops line cleanly at last recorded month! | Propagates #N/A if summed directly -> Sum raw Actuals B2:B7 instead! |
Chart-Ready YTD Cumulative Series Stopping Cleanly at Unrecorded Months with NA()
Returns cumulative actuals through row 4 when B4 is recorded, or #N/A via NA() when B4 is blank so the plotted line terminates without dropping to zero.
=IF(OR(ISBLANK(B4), LEN(TRIM(B4 & "")) = 0), NA(), ROUND(SUM($B$2:B4), 2))Annualized Run-Rate Forecast Based Strictly on Recorded Months = 12 * AVERAGE(B2:B7)
Computes full-year annualized run-rate revenue from however many months in B2:B7 have been closed so far.
=IF(COUNT(B2:B7) = 0, "No Closed Months Yet", ROUND(12 * AVERAGE(B2:B7), 2))Try the example
