Collaborative Budget Variance Triage: @Mentions, Comments & Viewer Release Gate

Flag material department budget variances (> 5%), generate targeted @mention comment prompts for open breaches, and lock executive Viewer sign-off until all blockers resolve.

Coordinating multi-user variance close with roles, comments, and @mentions

During monthly close in a shared workbook—whether in Arte Sheets with real-time multi-user editing, live cursors and avatars, cell suggestions, threaded comments, @mentions, notifications, and role-based invitations, or in comparable collaborative cloud spreadsheets—finance teams need deterministic formulas to separate immaterial noise from variances that require written commentary before stakeholders with Viewer access review the pack.

Pairing a signed percentage variance (Actual - Budget) / Budget against a configurable materiality threshold (such as 5%) lets each row emit a targeted @mention prompt (e.g., "@liam: Review") only while ABS(Pct_Var) > Tolerance AND Thread_Status = "OPEN". A top-level release gate then checks COUNTIF(Action_Col, "*Review*") = 0 before clearing publication.

DeptBudgetActualPct VarianceThread Status -> Action
Cloud Infra (@maya)80,00082,400+3.00% (<= 5%)OPEN -> OK_WITHIN_TOL
Paid Acquisition (@liam)50,00056,500+13.00% (> 5%)OPEN -> @liam: Review
Field Events (@nora)40,00036,000-10.00% (> 5%)RESOLVED -> SIGNED_OFF
Customer Success (@elena)60,00061,200+2.00% (<= 5%)OPEN -> OK_WITHIN_TOL

Material Variance @Mention Routing Formula

Check ABS((C2 - B2) / B2) > $H$2 first; if within tolerance return "OK_WITHIN_TOL", otherwise check whether the department contributor’s comment thread is already marked "RESOLVED".

=IF(B2 = 0, "CHECK_BASE", IF(ABS((C2 - B2) / B2) <= $H$2, "OK_WITHIN_TOL", IF(E2 = "RESOLVED", "SIGNED_OFF", D2 & ": Review")))

Executive Pack Release-Readiness Gate

Count remaining ": Review" blockers across F2:F5 so the workbook owner knows the exact moment all material @mention threads are resolved.

=IF(COUNTIF(F2:F5, "*: Review") = 0, "READY_FOR_VIEWERS", "HOLD_OPEN_THREADS")
