XLOOKUP vs VLOOKUP vs INDEX + MATCH: Spreadsheet Comparison Guide

When Arte Sheets fits best

  • Test XLOOKUP, XMATCH, VLOOKUP, HLOOKUP, INDEX, and MATCH side by side for $0 in Arte Sheets without signing in.
  • Use Trace Precedents/Dependents and runnable /en/learn/ practice tables to verify exact-match, wildcard, and reverse-search edge cases.
  • Export .xlsx files preserving whichever lookup pattern matches your recipient’s Excel version.

When XLOOKUP vs VLOOKUP vs INDEX + MATCH fits best

  • Use INDEX + MATCH when an external client still opens .xlsx files in Excel 2016 or Excel 2019 (where XLOOKUP displays _xlfn.XLOOKUP).
  • Keep VLOOKUP(..., FALSE) only when maintaining inherited corporate templates you are not permitted to refactor.

Feature-by-Feature Comparison: XLOOKUP vs VLOOKUP vs INDEX/MATCH

Most lookup bugs in business spreadsheets come from two historical VLOOKUP traps: forgetting the fourth argument (so VLOOKUP defaults to approximate sorted mode and returns plausible-looking wrong numbers) and hardcoding a column number like 4 that points to the wrong column as soon as someone inserts a column.

Both XLOOKUP and INDEX + MATCH reference only the lookup vector and the return vector—making them immune to intermediate column insertions.

Default match behaviorExact match (0) by default — safeSpecify 0 in MATCH(val, range, 0)Approximate (TRUE) by default — error-prone!
Look to the left of key columnYes — return range can be anywhereYes — INDEX & MATCH ranges are independentNo — key must be leftmost column
Safe when inserting columnsYes — no column index integerYes — direct range referenceNo — hardcoded col_index_num shifts
Built-in "if not found" argumentYes — 4th argument e.g. "Missing"Requires wrapping in IFNA(..., "Missing")Requires wrapping in IFNA(..., "Missing")
Bottom-to-top (last match) searchYes — search_mode = -1Requires complex array/XMATCH comboNo

Exact Syntax Equivalent Table (Copy-and-Test Patterns)

Suppose Product IDs sit in C2:C100, Product Names live to the left in A2:A100, Unit Prices sit in E2:E100, and your search key is in G2. Compare the exact formulas you can paste directly into Arte Sheets or Excel:

Equivalent formulas for common business lookup tasks
Lookup ScenarioXLOOKUP FormulaINDEX + MATCH / VLOOKUP Equivalent
Basic exact price lookup (C → E)=XLOOKUP(G2, C2:C100, E2:E100)=VLOOKUP(G2, C2:E100, 3, FALSE)
Left lookup: ID in C → Name in A=XLOOKUP(G2, C2:C100, A2:A100)=INDEX(A2:A100, MATCH(G2, C2:C100, 0))
Custom fallback instead of #N/A=XLOOKUP(G2, C2:C100, E2:E100, "Not listed")=IFNA(INDEX(E2:E100, MATCH(G2, C2:C100, 0)), "Not listed")
Last matching transaction (bottom-up)=XLOOKUP(G2, C2:C100, E2:E100, "None", 0, -1)=INDEX(E2:E100, XMATCH(G2, C2:C100, 0, -1))
Two-way matrix (row G2 & month H1)=XLOOKUP(G2, A2:A50, XLOOKUP(H1, B1:M1, B2:M50))=INDEX(B2:M50, MATCH(G2, A2:A50, 0), MATCH(H1, B1:M1, 0))

Cross-Application Compatibility Matrix

Before choosing XLOOKUP over INDEX + MATCH for an exported .xlsx deliverable, verify which spreadsheet applications your recipients use.

Frequently asked questions

Are XLOOKUP and XMATCH free in Arte Sheets?

Yes. XLOOKUP, XMATCH, VLOOKUP, HLOOKUP, INDEX, MATCH, and FILTER are all part of the 184 functions in the free Arte Sheets editor.

Why does VLOOKUP sometimes return the wrong row without showing an error?

Omitting the 4th argument (range_lookup) makes VLOOKUP default to TRUE (approximate match), which assumes your lookup column is sorted ascending. Always pass FALSE—or switch to XLOOKUP, which defaults to exact match.

What if multiple rows match my lookup key?

XLOOKUP, VLOOKUP, and MATCH return only the first match (or last match with search_mode -1). To return all matching rows at once, use =FILTER(return_range, key_range=G2) in Arte Sheets.

When is INDEX + MATCH still better than XLOOKUP?

Whenever your exported .xlsx file might be opened on an older corporate PC running Excel 2016 or Excel 2019.
